Terms & Conditions

These Booking Terms and Conditions constitute a legally binding agreement between First Himalayan Holidays Pvt. Ltd. and you (our client) for all travel services booked with us. Please read them carefully and make sure you fully understand them before making a booking.

Booking (Nepal Trips)

  • You may make a booking through our website, email, or authorised partners.
  • All prices are quoted in USD. If payment is made in another currency, we will convert using the prevailing exchange rate (We follow the Nepal Rastra Bank for exchange rate).
  • To secure your booking, you must pay a 30% non-refundable deposit of the total trip cost. We will send a Nepal's safest payment gateway link through email upon your request.
  • For Nepal trips, you can settle the remaining balance either before arrival (via credit card or bank transfer) or upon arrival in Nepal during the pre-trip meeting.
  • This 30% deposit is strictly non-refundable.

Booking (Bhutan & Tibet Trips)

  • To secure your trip in Bhutan or Tibet, you must pay a 50% non-refundable deposit of the total trip price. For the payment, we will send payment gateway link or bank details for wire transfer, this will be provided once the trip finalize and ready to make payment ( upon request) through Email.
  • The remaining amount must be paid in USD by bank transfer or credit card no less than 20 days prior to departure. (The bank charge 4% will be added)
  • This 50% deposit is strictly non-refundable.

Last Minute Bookings

For Nepal trips, we may accept bookings up to 7 days before departure, subject to availability. Full payment is required at the time of booking and is non-refundable.

For Bhutan & Tibet trips, bookings may be accepted up to 30 days before departure, subject to availability. Full payment is required at the time of booking and is non-refundable.

Payment Methods (Applicable to All Trips)

We offer various payment options including:

  • Nepal's safest online payment gateway by Himalayan Bank (credit card with processing 4% fees applicable),
  • Direct bank transfer (clients responsible for bank charges), We will provide bank details once we finalize the trip.
  • Cash in accepted currencies. (We accept USD, AUD, GBP, SGD, EURO, DIRHAM and more) , please note that, our bank only accept new, clean notes and denomination of $50 and $100. If you planning bring USD, please make sure the not must not be older than 2009 series.

Cancellation & Refund Policy (Nepal Trips)

  • To cancel a Nepal trip, written notice must be sent by email at least 20 days before departure.
  • If cancelled 20 days or more before departure: 30% of total trip cost is retained and the remainder refunded (if paid). Deposits alone are non-refundable.
  • If cancelled less than 20 days before departure: 100% of the trip cost is charged, and no refunds are issued.
  • If needed, we can provide documentation for insurance claims.

Cancellation & Refund Policy (Bhutan & Tibet Trips)

  • Written notice must be sent at least 30 days before departure.
  • If cancelled 30 days or more before departure: 50% of total cost is retained, and remainder refunded (if paid). Deposit remains non-refundable.
  • If cancelled less than 30 days before departure: 100% of trip cost is charged, and no refunds are issued.
  • Supporting documentation for insurance claims can be provided upon request.

Rescheduling Your Nepal Trip

  • If you need to change your travel date for Nepal, written notification must be sent at least 20 days before departure (same requirement if moving to an earlier date).
  • A rescheduling fee of USD 200 per person applies for postponing, advancing, or transferring the booking to another person.
  • It is the Client’s responsibility to find another traveler if transferring your booking to someone else.

Rescheduling Your Bhutan & Tibet Trip

  • If you need to reschedule, written notice must be sent at least 30 days before departure (same for earlier or later dates).
  • A rescheduling fee of USD 500 per person applies for changes or transfers.
  • Clients must arrange a replacement traveler if transferring the booking.

Incomplete Trip

If you fail to complete your trip for any reason, we are not liable for refunds for any unused services including meals, accommodation, transportation, permits, or activities. Additionally, if you engage in unlawful behaviour requiring your removal from the trip or country, no refunds will be issued.

Passport & Visa (Nepal)

  • A valid passport with at least 6 months validity beyond your planned return date is required.
  • Nepal visas may be obtained at Nepalese consulates abroad or upon arrival at Kathmandu airport. Visa fees are the Client’s responsibility.
  • You may complete the Nepal visa application online prior to arrival.

Passport & Visa (Bhutan & Tibet)

A valid passport with at least 6 months validity beyond your return date is mandatory.

First Himalayan Holidays will handle all necessary visa and permit arrangements for Bhutan and Tibet. Required documents include a passport scan, photo, and insurance information at time of booking.

Unforeseen Circumstances

All trips are operated in compliance with local laws and regulations. However, First Himalayan Holidays is not responsible for itinerary changes caused by factors beyond our control, including but not limited to:

  • Government rule changes
  • Weather conditions
  • Flight cancellations or delays
  • Natural disasters
  • Pandemics
  • Road closures

Other unforeseen events

Clients are responsible for any additional costs arising from such situations. Travel insurance is strongly recommended.

Risk & Responsibilities

Participation in our trips involves inherent risks, including but not limited to injury, illness, property damage, or death arising from travel, physical exertion, high altitude, natural events, or transportation issues. By booking, you acknowledge and accept these risks and agree that First Himalayan Holidays, its employees, guides, and agents shall not be liable for such outcomes.

Travel Insurance

Travel insurance is mandatory for all clients. Your insurance should cover:

  • Medical expenses and evacuation
  • Helicopter rescue and air ambulance
  • Trip cancellation/interruption
  • Theft or loss of luggage
  • Other unforeseen incidents

You are responsible for ensuring your policy meets these coverage requirements.

Domestic Flight Delays & Extra Costs

Mountain weather may disrupt domestic flights. First Himalayan Holidays is not liable for expenses related to delays or cancellations. If alternative helicopter services are required, the cost will be borne by the Client and is not covered in the trip price; documentation can be provided for insurance claims.

Prices & Unexpected Changes

If a trip must be cancelled or altered due to unexpected events, we will propose an alternative trip of equal value or allow rescheduling. Additional costs shall be covered by the Client if the new arrangements exceed the original trip price.

Room Sharing & Supplements

Most packages are based on double occupancy. If you are travelling alone and require a single room, a supplement will be charged and informed at booking.

Health & Fitness

Before high-altitude travel, Clients are advised to assess their physical fitness and consult a medical professional. Walking times and difficulty levels vary by individual.

Children

Participants under the age of 16 must be accompanied by a legal guardian or parent.

Privacy

We respect your privacy and will safeguard personal information. We do not share or disclose personal data except as required for trip operations.

Publicity

By participating in the trip, you grant First Himalayan Holidays the right to use photographs or videos taken during the trip for promotional purposes across any media without compensation.

Complaints

Please notify our staff immediately of any concerns or issues during your trip. We are committed to resolving them promptly for your satisfaction.

Acceptance of Terms

These Terms apply when you book directly with us or through third-party agents, and you agree to be bound by both these Terms and any applicable agent terms.

Participant Behaviour Policy

First Himalayan Holidays reserves the right to remove any participant whose conduct is deemed unacceptable, including disruptive or unlawful behaviour. No refunds or compensation will be provided for unused services, and you will be responsible for any additional costs incurred.

Applicable Law & Jurisdiction

These Terms are governed by the laws of Nepal. Any disputes arising from these Terms shall be resolved exclusively in the courts of Kathmandu, Nepal.
